About the Patient Participation Group
We would like to know how we can improve our service to you and how you perceive our surgery and staff.
To help us with this, we are setting up a virtual patient representation group so that you can have your say. We will consult you on which areas of our service you would like to focus and and ask you to complete a survey based on these areas. We will contact you via email and keep our surveys succinct so it shouldn’t take too much of your time.
We aim to gather around a hundred patients from as broad a spectrum as possible to get a truly representative sample. We need young people, workers, retirees, people with long term conditions and people from non-British ethnic groups.

PPG Minutes 8th January 2026

Minutes of the last meeting
- The minutes were accepted as a true reflection of the meeting held on 24/9/25
- Despite several attempts to raise interest in the PPG with the Nepalese community they have been unsuccessful
Action
- Surgery to continue monitoring potential a new Nepalese committee member
Discussion Items
Notice Boards
- GA has spent time in the reception investigating the current state of the notice boards
- They currently appear Untidy, Disorganised and Unprofessional
- The reception staff are hidden behind posters and pamphlets on the eprspex screens
- Other boards are either fully covered or have very little with no focus
- GA proses to introduce ‘zoning’ FAQ’s, Community, a Message board. The learning difficulties board will remain unchanged
Action
- TS to to clear the reception screens
- GA to prepare a notice board mock up by 13/2
New E Mail Address
- Now the new PPG email address (kmicb.tmg.ppg@nhs.net) is active the surgery will send out an introductory email out to the patients (in tranches of c1000 (across all ages)at a time asking for suggestions and comments
Action
- JH to write E Mail,MS to send to patients, TS to manage responses and liaise with JH
Other Surgery PPG’s
Action
- JH to contact other local surgeries PPG’s to understand how they operate. TS to research West Kent Primary Care to see if there are collaboration opportunities
Patient Survey
Action
- The latest results will be shared with the PPG
Anima
- The PPG agreed that the ability to continue to contact the Surgery via Anima, Phone, E mail and walk in works well
- The Duty Doctors review all Anima requests within 24 hours and at present this target is met
- Out of Hours Anima requests are advised to ring 111
- Duty Doctors have 15 afternoon slots for Anima requests
Reception Flow
- The Reception trialed the patient flow proposal unfortunately it caused some confusion
- A positive outcome is the new precriptions request table/box at reception that has taken off some pressure on the Receptionists
- The TV’s cannot be put on rotation arms but the re-allignments of the chairs will be investigated
- The font size will be investigated
Action:
- TS to investigate
AoB
- Would a water cooler be possible in reception, cost may be a determinant and in general patients usually don’t spend long in reception. Water is available at reception
- All Doctors are qualified to give injections but some are able to administer more specific injection
- At the April PPG the committee will discuss a potential ‘meet and greet’
